It will not surprise you to know that I keep excellent mileage records, after all that is part of what we advise companies to do, but most people are very poor at both keeping records and accurate records are usually non-existent. What tends to happen is that drivers guess and you can guarantee that the guess is in their favour rather than yours. Typically drivers estimates are between 10% and 20% wrong.
Fleets of company cars can get round this using tracking devices to help provide the mileage data, but there has not been such a system for vehicles not owned by the company or short term hire vehicles.
I believe I have found the solution. I am trialling a system that is both delivering accurate mileage reports for private and business journeys, but is also providing some speed and routing data as well. I have checked the reports against my accurate data and the only difference is the inaccuracy of my vehicles odometer.
It does all of this through my Blackberry device, but can work with any GPS enabled mobile phone. This means that it easy to use as all the driver has to do is decide whether the journey if business or private and tell the mobile which it is. This means that the small business person can send the accountant a spreadsheet of mileage and the bigger business can ensure that the mileage claims are accurate.
